Cancellation policy

If you wish to cancel your booking, please get in touch by email (preferred) or telephone. 

Please inform us at the earliest possible opportunity! We will make every effort to re-let the accommodation, but will not be held responsible for doing so.  In the event of cancellation the following charges will apply: 

a) 4 or more weeks prior to arrival date - refund 100% of monies paid.

b) Within 4 weeks - if we do not succeed in re-letting the accommodation, the hirer will be liable for 100% of booking cost.  

COVID related cancellations - we will provide a full refund for any cancellations within a national lockdown. For cancellations within a tier system, please refer to our standard cancellation policy above.

Security deposit

We ask all guests to provide a security deposit of £150 per stay for Railway Cottage and The Hayloft / £250 per stay for Springfield House / £300 for Hillview Cottage. These monies will be refunded 10 days after departure provided the accommodation & equipment are in a clean and undamaged condition on departure. The transaction is usually instant but can take a few working days to process.

Damages

We request that any damage or breakages are highlighted as soon as possible so we have the opportunity to fix or replace anything in time for our next guests. We do not charge guests for small breakages such as kitchen glassware. Accidents happen!

Arrival & departure

Keys to the property are available from 5pm on the day of arrival (or earlier by special arrangement) for all properties except The Hayloft, which has a 4pm check-in. Guests are requested to vacate the accommodation by 10am on the departure date (our cleaners arrive promptly). 

Prices

Prices include use of bedding, linen, towels, toilet paper, electricity, and a basket of fire wood. For additional firewood, all local petrol stations generally stock logs and kindling.

Booking payments

We request a payment at the time of booking, which can be made online via our booking system, by bank transfer or Paypal (to sayhello@lovecairngorms.com).    

A minimum 50% deposit is required at the time of booking, with the remaining balance due 30 days prior to arrival. We will send you an email with a link to make a secure payment online. Remaining balance can also be paid by PayPal or bank transfer.

Transactions are in pound sterling.  International bank transfers may incur a charge, to be paid by guest.

The booking will be considered as confirmed when the initial deposit has been received.

Booking confirmation

Confirmation will be provided automatically for online bookings.  If booking by telephone or email we will provide an email confirmation once a deposit is received.

The person making payment will be deemed the lead person (unless otherwise specified) and assumes responsibility for the accuracy of the booking, the payment details submitted and for conveying all necessary booking details and terms and conditions to the other members of the party.  If any member of the booking party has special needs, it is the responsibility of the lead person to ensure that any requirements are identified and communicated to us by email.

Short breaks

Short breaks are available all year round with the exception of July, August, Christmas and Hogmanay. Within theses periods, short breaks may become available to book one week in advance, based on our availability.  

No smoking premises

Smoking is not prohibited within the properties.  There will be a £100 charge for deep cleaning of room(s) if smoking has occurred.  

Personal effects

We will not be held responsible for the loss or damage to personal property of guests occupying the accommodation. All property, vehicles, their contents and personal effects are on the premises and car park entirely at your own risk.

Accidents

All our guests are encouraged to ensure that they have adequate insurance for their stay.

Your Pet

All of our properties are dog friendly. We just ask that you bring a dog bed and additional towels for muddy paws. Strictly no dogs allowed on the beds. Please ensure you clean up after your dog so the garden is clean for our next guests - there is a £50 fine for any dog poop left.

The gardens at both Springfield House and Hillview Cottage are fenced so fully secure. Railway Cottage shares the track to the main road with the RSPB and local farmer so the garden is only fenced (with chicken wire) on the railway line side and to the adjacent fields but open to the driveway. The garden at the Hayloft is partially fenced in with free access to the adjacent woodland, stream and road - there is also an abundance of wildlife there so dogs cannot be left unattended and must be on a lead at all times while in the garden.

Accommodation

If for any reason the accommodation is unsatisfactory please do not hesitate to contact us immediately so that we can rectify any issues as soon as possible. Guest enjoyment and satisfaction is of upmost importance to us and we are unable to accept subsequent claims for shortcomings we have not been notified of at the time.

Disclaimer

We reserve the right to refuse admission to anyone who, in our opinion, is not fit to take charge of the property.  In any such case the contract will be terminated without further liability.

We also reserve the right to terminate the Contract at any time or remove any person or persons (or persons being responsible for others), due to unreasonable behaviour and/or damage to property.  

Force Majeure

We cannot accept any liability where the booking could not be fulfilled due to circumstances which we could not, even with due care, have foreseen or avoided. Such events include but are not limited to, war, threat of war, civil commotion or strife, hostilities, industrial dispute, natural disaster, fire, act of God, terrorist activities, technical problems or closure with transportation, quarantine, epidemics, weather conditions, government action, destruction or damage of the cottage through fire, explosion, flood, storm or other weather damage, criminal damage and all similar situations beyond our control.
